Draft a quote or proposal with AI, for marketing agencies

Writing proposals late at night eats into time you should spend running campaigns or resting. Hand your rough meeting notes and past work to AI, and you start with a complete first draft instead of a blank page.

What to gather first

Which app

For this one, a plain AI chat window is enough. Open the chat, paste what you gathered, and type the message below.

How to do it

  1. Paste your past proposal and notes. Copy the text from an older proposal that matches the tone you want. Add your messy notes from the client call right below it. Let AI read how you usually structure scope and fees.
  2. Ask for the first draft. Tell AI to draft the proposal using your notes for the details and your old document for the format. It arranges the project goals, the scope, the pricing options, and the next steps. It stops when the draft is written.
  3. Review and adjust the scope. Read through the project boundaries AI pulled out. Tighten any tasks that sound too broad, and strike out anything you do not want to take on. You keep the project safe from scope creep.
  4. Confirm the fees and send. Check every fee against your actual rate card. Put your company letterhead on the text, save it as a PDF, and email it to the client yourself.

What to type first

I pasted notes from a client call and an old proposal I liked. Draft a new proposal for this client using the structure of the old one. Include the project scope, pricing, and next steps based on my notes. Do not invent fees I did not list, and do not send anything.

Change the words to match your business. AI follows what you say, so say what done looks like.

Before you trust it

Once this feels comfortable, you can paste the signed proposal back in and have AI draft the kickoff email.
