How to do it
- Remove private patient details. Open your schedule and copy just the visit reasons and times. Leave off patient names, birth dates, and phone numbers. Use simple labels like Patient A or Patient B instead.
- Paste the prompt into AI. Open your chat window and paste your prompt along with the arrival instructions. Add the list of anonymized visit times. Ask AI to draft one short text for each slot.
- Review the drafted messages. Read the draft replies in the chat window. Check that the arrival notes match the visit type, like fasting instructions for morning blood draws. Edit any wording that sounds too stiff or unfamiliar.
- Hand the drafts to staff. Copy the approved messages over to your clinic texting system. Match each draft to the right patient file. Your front desk sends them out from your regular clinic line.
What to type first

Include the right arrival step for their visit type. Keep each message under three sentences. Do not send anything or make up medical advice.
