Clean up billing entries with AI, for lawyers

You finish the day with messy time notes that clients question when invoices go out. AI turns those rough notes into clear lines that show the real work done.

What to gather first

Which app

For this one, a plain AI chat window is enough: ChatGPT, Claude, or Gemini. Open the chat, paste what you gathered, and type the message below. First time? Read how to talk to an AI.

How to do it

  1. Paste your past approved descriptions. Put three or four good entries into the chat window. AI reads them to see how your firm writes descriptions. This shows AI the tone and detail your clients expect.
  2. Add today's rough notes. Paste your messy notes below the examples. Include the short phrases, email subjects, or file names you jotted down during calls. AI reads the raw notes against your good examples.
  3. Ask for revised lines. Tell AI to draft a clean line for each entry. AI replaces vague notes like 'call re file' with active phrases about the task. It returns a plain list for you to read.
  4. Read and copy to your ledger. Check each line against what actually happened in the file. Fix any detail AI guessed wrong. Paste the approved lines into your billing screen.

What to type first

Here are three billing entries our clients approved last month, followed by my rough notes from today. Draft a clean billing description for each note, matching the style of the approved entries. Start each line with an active verb. Do not invent tasks, do not change any recorded time, and do not send anything.

Change the words to match your business. AI follows what you say, so say what done looks like.

Before you trust it

Try pasting notes from an entire matter to draft the monthly billing summary letter.
