Catch up on email with AI, for freelancers

Unread client messages pile up while you do the real work on site. AI sorts the pile and writes initial replies so you only have to review, edit, and hit send.

What to gather first

Which app

For this one, AI needs to open your files itself, so use an agent app rather than a chat window. Three that a non-technical owner can install today:

How to do it

  1. Connect your inbox. Open your AI agent app and grant read access to your email. AI scans the incoming messages from the past few days. It separates newsletters and receipts from real client notes.
  2. Provide your voice and facts. Paste your past email samples and your availability notes into the chat. Tell AI to match the tone of those examples. AI uses these notes to answer questions about your schedule and rates.
  3. Review the drafted list. Ask AI to show you a list of pending messages alongside its drafted replies. AI presents the sender, their core question, and a proposed response. Nothing leaves your account yet.
  4. Edit and send. Read each draft on your screen. Adjust any details, fix personal names, or add specific project context. Copy the text into your email app and send it yourself.

What to type first

Here is access to my inbox for this week, along with three emails I wrote last month and my current rates. Find the client messages that need answers and draft a reply for each one using my tone. Do not send anything or archive any messages.

Change the words to match your business. AI follows what you say, so say what done looks like.

Before you trust it

Try having AI draft follow-up notes for past clients who have not answered your bids.
