AI Guides / AI for restaurants
Build the weekly staff schedule with AI, for restaurants
Every Sunday night starts with texts, time-off notes, and a blank schedule grid. Hand the puzzle pieces to AI, let it draft the grid, and step in to make the final calls.
What to gather first
- Staff shift requests and time-off notes
- List of shifts needed for each day
- Last week's completed schedule roster
Which app
For this one, a plain AI chat window is enough: ChatGPT, Claude, or Gemini. Open the chat, paste what you gathered, and type the message below. First time? Read how to talk to an AI.
How to do it
- Collect your shift requirements. Jot down the floor and kitchen roles you need for lunch and dinner. Note who opens, who closes, and who cannot work together. Keep it in plain notes on your screen.
- Paste the staff availability. Add the list of your team members and the days they can work. Include any approved time-off requests directly below each name. Paste this whole block of text into your AI chat window.
- Review the first schedule draft. AI reads the constraints and puts names into each open slot. It lists who works which shift and flags anyone left without shifts. Read through the layout to spot coverage gaps.
- Adjust and post the plan. Tell AI to swap roles where you prefer a different team balance. Copy the finished grid into your usual team chat or print it for the kitchen wall. You decide when it is ready.
What to type first
Here are our open shifts for next week and our staff availability notes. Draft a weekly schedule that fills each shift without double-booking anyone. List any conflicts you could not resolve. Do not send anything to the team.
Change the words to match your business. AI follows what you say, so say what done looks like.
Before you trust it
- Make sure your closing staff are not scheduled for the next morning's opening shift.
- Check that every team member received their agreed minimum shifts.
- Confirm that experienced servers work during your busiest dinner services.
Once your schedule grid is ready, paste it back to draft a quick text announcement for the team.
