Answer guest inquiries faster with AI, for hotels
Front desk messages pile up while you welcome arriving guests and hand out room keys. Paste the guest questions next to your house rules, and AI drafts friendly replies you can check before sending.
What to gather first
- Your check-in and check-out times
- Current parking instructions and gate codes
- Three recent guest inquiries from your inbox
- House policies on pets and quiet hours
Which app
For this one, a plain AI chat window is enough. Open the chat, paste what you gathered, and type the message below.
How to do it
- Paste your hotel policies. Drop your check-in hours, parking steps, and property rules right into the chat window. Add any notes about nearby dining or quiet hours that guests ask about most. This gives AI the facts about your property.
- Add the guest messages. Copy the unread messages from your booking inbox and paste them below the rules. Include the guest's name and their stay dates if you have them. Do not include credit card numbers or private guest details.
- Ask for draft replies. Tell AI to read the questions and draft a short reply for each one using only your house rules. AI sorts through your notes and writes out warm answers for each guest. It leaves placeholders if any detail is missing.
- Review and send the notes. Read through each draft on your screen. Adjust the tone, confirm the parking instructions match today's lot setup, and copy the text back into your message queue. You send the final words.
What to type first
Here are my hotel house rules, parking directions, and check-in times. Below them are three messages from arriving guests. Draft a warm, concise reply for each guest using only the details I provided. If a guest asks for something not covered in my notes, tell them the front desk will check on it at arrival. Do not send anything or make up policies.
Change the words to match your business. AI follows what you say, so say what done looks like.
Before you trust it
- Check that check-in times and parking fees match your current rates.
- Make sure the guest's name matches their specific question.
- Verify that no extra promises about early arrival or room upgrades were added.
Once this feels comfortable, paste your local restaurant list so AI can draft neighborhood recommendations for staying guests.
