How to do it

  1. Export the recent attendance list. Pull the attendance file from your front desk desk screen as a text list or spreadsheet. Leave out credit card details or home addresses. Keep only first names, favorite class times, and last visit dates.
  2. Paste the list into AI. Open your chat window. Paste the names, visit dates, and your past notes into the message box. Tell AI to read through and look for gaps.
  3. Review the sorted list. AI reads the dates and groups members who have been away. It drafts a short check-in message beside each name. You get a list of quick notes to read through.
  4. Edit and send yourself. Read each draft to make sure the tone matches your gym. Fix names, swap words, or drop notes for members you already spoke with. Copy the text to your phone and send it yourself.

What to type first

Here is our attendance list with member first names and last visit dates, along with two check-in texts I sent before. Find the members who have not visited in weeks. Draft a warm, two-sentence text for each one to welcome them back. Do not send anything or make up class details.
