How to do it
- Paste the tax intake list. Drop your standard list of needed forms into the chat. Tell AI which tax forms and statements you expect from this type of client. AI holds that list in mind for the comparison.
- Add the received files list. Copy the file names or notes of what the client turned in so far. Paste them right under your checklist. AI compares the two piles and finds what is missing.
- Ask for the reminder draft. Tell AI to draft a short, friendly message listing only the missing items. AI drafts the email in your firm's usual voice. It leaves blanks for dates and personal notes.
- Review and send the draft. Read the draft to make sure it names the right tax year and forms. Adjust the tone so it sounds like you. Paste it into your email and send it.
What to type first
Here is my firm's standard intake checklist and the list of files our client uploaded this week. Compare both lists. Tell me which documents are still missing, then draft a polite reminder email to the client asking for those specific items. Use a warm, calm tone. Do not send anything or make up file names.
Change the words to match your business. AI follows what you say, so say what done looks like.
