How to do it
- Paste the client's question. Copy the message your client sent into your chat window. Leave out their full name, address, and account numbers. Keep the core question clear.
- Add the background figures. Paste the relevant numbers from the client's file directly below the email. Add a couple of examples of how you usually explain things to clients. This helps AI match your tone.
- Ask for an email draft. Tell AI to draft a plain reply based only on those figures. AI writes out the explanation and lists the missing items the client still owes you. You get a working draft in seconds.
- Review and send. Read through the text to confirm the figures match the file. Adjust any phrasing that does not sound like you. Paste the draft into your email app and send it.
What to type first
I am pasting an email from a client, their recent figures, and two notes I wrote to other clients. Draft a friendly, clear reply answering their question using only the figures provided.
