Answer proof and order questions with AI, for wholesalers
You spend half your morning digging up print proofs, stitch file notes, and ship dates to answer client emails. Let AI read the order notes and write the draft reply so you can review it and hit send.
What to gather first
- The client email with questions
- The current order status sheet
- Proof notes from the decorator
- Your standard production schedule
Which app
For this one, a plain AI chat window is enough: ChatGPT, Claude, or Gemini. Open the chat, paste what you gathered, and type the message below. First time? Read how to talk to an AI.
How to do it
- Paste the order notes. Copy the details from your factory proof, stitch count note, and ship dates into the chat. Add your standard lead times so AI knows the rules. Keep everything as raw text.
- Add the client questions. Paste the email thread from your client right below the notes. AI reads their questions about embroidery files, print proofs, and delivery dates. It matches each question to your notes.
- Ask for draft replies. Tell AI to draft a plain reply addressing every question one by one. AI outlines what is approved, what is delayed, and what needs client sign-off. It hands you a ready draft.
- Review and send. Read through the text to check dates and file names against your real factory queue. Fix any tone that feels stiff. Paste the finished draft into your email and send it.
What to type first
Here is an email from a client asking about their embroidery proof, thread colors, and ship date, along with our production notes. Draft a calm, clear reply answering each question directly using only the notes I provided. Flag anything missing as a question for me. Do not send anything or make up dates.
Change the words to match your business. AI follows what you say, so say what done looks like.
Before you trust it
- Look at the production dates to make sure they match your decorator schedule.
- Check that the thread count and stitch file details match the factory spec sheet.
- Make sure the draft asks the client for missing art approvals before promising ship dates.
Paste factory delay notices in alongside client orders to draft proactive update emails before clients ask.
