AI Guides / AI for property managers
Sort tenant maintenance requests with AI, for property managers
You spend your mornings untangling tenant messages about dripping sinks, broken heaters, and lost keys. AI reads the pile, flags the urgent repairs, and drafts the job requests for your contractors.
What to gather first
- Unread maintenance emails and texts
- Your current list of approved contractors
- Two good past work orders
Which app
For this one, a plain AI chat window is enough. Open the chat, paste what you gathered, and type the message below.
How to do it
- Paste the tenant messages. Copy the text from your inbox or phone and drop it into AI. Include the unit numbers and whatever the tenants typed. Let AI sort the messy notes into one list.
- Add your contractor list. Paste your roster of plumbers, electricians, and handymen into the same chat. AI compares the tenant complaints against your trades. It matches each problem to the right person.
- Separate urgent jobs from routine fixes. Ask AI to pull leaks, heat outages, and security risks to the top. It lists the urgent jobs first and groups the smaller fixes below them. You see what needs attention before lunch.
- Draft the work orders. AI drafts a short job note for each contractor using the tenant details. You read the drafts, adjust any access notes, and text them to your vendors.
What to type first
Here are the maintenance requests from our tenants this morning, along with my list of trade contractors. Group these by urgency, match each repair to the right trade, and draft a short work order for each contractor with the unit details. Do not send anything to anyone.
Change the words to match your business. AI follows what you say, so say what done looks like.
Before you trust it
- Check that emergency repairs like water leaks or broken locks sit at the top of the list.
- Verify that the unit numbers and tenant contact details match your records.
- Read each contractor draft to make sure the trade matches the actual problem.
Try pasting contractor invoices into AI to compare the billed work against your original work orders.
