How to do it

  1. Paste your standard shop policies. Put your typical pricing, repair timelines, and packing tips into the chat. AI holds these details to keep answers consistent. You only need to paste these once per session.
  2. Add the customer message. Copy the customer's question about their pen into the chat. Let AI see the pen make, model, and the trouble they described. AI reads their note against your shop guidelines.
  3. Ask for a draft reply. Tell AI to draft a short, friendly response based on your notes. AI drafts the email explaining the next steps and intake costs. It flags any details it cannot confirm.
  4. Review and send the draft. Read through the text to make sure the nib advice fits that specific pen. Fix any terms that sound unnatural for your shop. Paste the finished text into your reply.
